## What is SmartTask?

**SmartTask** is an **all-in-one work management and collaboration tool** designed to help teams and businesses **manage tasks, projects, sales, and customer relationships** efficiently. It combines project management, team communication, time tracking, and workflow automation in a single platform.

### **Setting Up Your Profile:**

Your profile helps your team recognize you and ensures smooth collaboration.

#### **Steps to Set Up Your Profile and default organization:**

**Profile Set up:**

1. Click on settings from the left bottom.
2. Select **‘Profile Settings’** from the dropdown menu.
3. Update your **name, department, job role, and email address**.
4. Upload a **profile picture** for easy identification.
5. Set default organization.
6. Set your **notification preferences** to stay updated.
7. Click **‘Update’** to apply the changes.

### **Organization Set up (Admins):**

1. Go to the **Organization Settings** page.
2. To update the **logo**:
   1. Click on the **"Upload Image"** button under the "Icon" section.
   2. Choose a PNG or JPEG file (under 5MB) from your device.
   3. After uploading, the new logo will be displayed.
3. To update the **organization name**:
   * In the **"Name"** field, enter your desired organization name.
4. Click the **"Save"** button to apply the changes.

# Invite Teammates \[Admin]

Invite team members and start collaborating with them.

After setting up groups, projects, and initial tasks, invite teammates to join the workspace. You can then begin collaborating on tasks with team members.

1. In the vertical sidebar click on the **Users** icon <br>

## Start with a few teammates

Every process of onboarding into a new system for amplifying organizational performance is laden with teething issues. Encouraging the team to participate effectively in the orientation process needs to be effected in a seamless manner. The best way forward would be to start with a few teammates and extrapolate the use case to the entire team.

A good test group could be a few of your most trusted coworkers, or teammates you work with frequently that might be a smaller subset of your whole team. The subset needs to be a sample of the entire population comprising of teammates from every department / project concerned. You can use our standardised email template to invite your teammates and set expectations.

#### Proposing the value of SmartTask

The value of every new application is established in clear terms only upon provision on information of the advantages / benefits of the tool. Here are some benefits you can highlight to get the teammates on board:

* **Who is Doing What and When**—SmartTask summarises the task execution status by the team mates and the respective timeline. Let us avoid the time lost on repeated phone calls and unfruitful meetings.

# Creating Groups

Group is second layer in the organization. There can be multiple groups in an organization. It can be thought of as a department in an Organization. For eg: Accounts, Marketing, Engineering, etc. Basically it is a team within an organization.

A group can be of three types

* **Public Group:** Anyone in the organization can find and join the group
* **Request to Join:** Everyone in the organization can see the group but cannot access it until they request to join. The admin will receive a request and can accept the request.
* **Private Group:** A private group is only visible to invited members. It can be identified by the lock icon beside its name.

You can create different groups for various purposes which suit best for your organization. Click on ‘ADD NEW GROUP’ in the side bar.

# Creating Projects

## Create a Project

There can be multiple projects in an organization. A project can either be private or public to the group.

* **Public Projects:** A public project is accessible to all the members of the group. Any project is a public project by default.
* **Private Projects:** A private project is only visible to select members. It can be identified by the lock icon beside its name.

## Task Followers

Once you have added a task the second most important thing is adding followers. Similar to CC in an email we would add relevant persons as followers to a task. Followers would get an immediate notification in case of a comment or update in the task.

# Working together as a team

Learn to synergise the power of teamwork and surpass milestones pertaining to project completion and organisational goals.

A task based tracking in SmartTask, ensures clarity on responsibility and accountability. The team is clear on each member's roles and responsibilities leading to comprehensive reporting. Now, that we have added our first tasks let's look at some tips on collaborating with your team on various project tasks.

### Assign a task

**Assign a task instead of sending email, chat messages, phone calls or personal visit (which consumes lot of time and cannot be tracked effectively).** When you assign a task for a colleague it shows up in their "My Tasks" view and they will get an immediate notification.&#x20;

Since you created the task, you are automatically added to the task's follower list, you would get informed when the task is completed or a comment / update is created by the assignee.

### Tasks involving Multiple Team Members

Whenever there are multiple people collaborating together on a task / project or there are key managerial personnel who need to be notified on various task related updates then add them also as a follower to the particular task .

&#x20;All the Task followers are immediately notified whenever someone comments or updates the task. Followers can be added at any time during the progress of the task and such followers would be able to view, comment and update the task.

### Easy Follow Up - Reminders

When a company deals in multiple projects, followups becomes the key to successful execution. SmartTask assists the followers(team members) to set a reminder on a task and the assignee / assignor would automatically be reminded of the task for a quick status update.

### Comment on a task

[Comment](/fundamentals/task/task-comments) on a task whenever you need to discuss the work with your team. That way, the discussion stays in context with the task which can be referred by other team mates too, and also you can easily navigate back to it (even after the task is complete).

### Stay in touch and send simple messages

Encouragement and expressions of motivation are immensely impactful in contributing to a project's success. Send quick messages like "Great work!", "thanks", "got it!" to acknowledge task completion, appreciate your teammate's effort. Small gestures go a long way!

### Don't forget to archive notifications

Whenever a task is updated—whether it’s a date change, a new comment, or task completion—all followers are notified. These updates are recorded and displayed in your notification feed in chronological order.

To avoid confusion between new and already viewed notifications, we recommend archiving notifications after reviewing and taking the necessary actions. This also helps keep your notification feed clean and focused on what’s most relevant.

# Task

Tasks are the most fundamental building blocks in every organization. In this section, Let's capture the fundamental concepts related to a task in SmartTask and its related functionalities.

When you track your work in SmartTask, everybody is clear on their responsibilities and accountability. Here are a few quick ways to start collaborating and tracking your work with your team:

* [**Creating a task**](/fundamentals/task/creating-a-task) — The simplest way to create a task is by clicking on the "Add Task" button. One can also create a task from Email directly.
* **Assign a task** — Collaborating for a task essentially means assigning tasks to yourself *and* your teammates. Give it a try and assign a task to a member in your team (even if they aren’t using SmartTask yet.) Provide details and information they need to complete the task.
* **Add a follower** — Add stakeholders pertaining to a task as the followers so they can see any work on the task, communicate about it, and get notified about any related progress. You can add/remove followers at the right corner of the pane at the bottom of the task page. Try adding someone as a follower on one of the tasks you have just created.
* **Comment on a task** — You can comment on a task to ask questions, respond to teammates, or offer extra information and insight. Comment on a task you created to give an update about it.

How to create tasks by forwarding emails to SmartTask

### Forward  Emails to turn them into tasks

You can create tasks by sending emails to the SmartTask Application.

Here’s how a email translates into a power packed task update.

Where *id* is a unique identification number for a project or a user.&#x20;

### Email Tasks to a User or Project

You can send emails to assign a task to a user or add them to a project.

Every project or user in SmartTask has a unique email address that is created at the time of initiation of the application and can be used to create tasks.

#### To find a the unique email address:

1. Select the desired project or user from the sidebar
2. Click the dropdown arrow besides "Add Task" button.
3. Select **Add Task from Email**

To create a task via email, send an email to `p+uniqueID@smarttask.io` . For example, if your projectID is `123`, you would email `p+123@smarttask.io`&#x20;


# Importing Tasks from CSV

Import tasks from Excel, SmartSheet or any CSV file.

With SmartTask's CSV import functionality one could move workflow out of excel, csv file to SmartTask. On importing the CSV file, tasks would be created with data mapped to relevant task fields like start date, description, assignee and Custom Fields.

Before we start the processing of importing tasks here are a few things to check in your CSV file:

* The column names in the first row would be utilized by CSV importer to map to relevant task fields. You could change or modify the default mapping.
* **Assignee**: SmartTask would detect responsible user through the email address. String with anything else than the email address would be ignored. Assignee expects only one email address.
* **Followers**: Similar to Assignee, relevant followers would be deducted through the email addresses. String with anything else than the email address would be ignored. Followers accepts more than one email addresses.
* **Dates**: You could track both Start and Due dates. In your spreadsheet separate the dates in 2 columns.
* **Subtasks**: To import Subtasks, add a column called Parent Task. Fill the Parent Task with the exact name of the parent task in the corresponding row. The parent task should be located above the subtask row or should already exist within the project.
* **Other columns**: You could track additional columns to Taskname, Description, Priority, Custom Fields. Mapping of Custom Fields and Select field option is case sensitive.

### Using CSV Importer

Before importing your full task list, we suggest testing with one row to make sure all fields map as expected.

1. Click on the Dropdown arrow besides project name. Select 'Import' option.

2. To map the columns to right internal fields click on "Make Changes"

3. Clicking 'Import' button would start the import process.&#x20;

When importing rows with Assignees / Followers / Projects / Custom Fields make sure that the corresponding Users /  Custom Fields are already present in the organization.

### FAQs

* **What if my CSV has tasks assigned to users not yet added in SmartTask?**

  Tasks will still be imported, although they would stay unassigned. Assignee emails would be ignored
* **Can I test the import before uploading a full CSV?**

  Yes! We recommend importing just one task initially to make sure all columns are mapped correctly before importing the full list.

  SmartTask will attempt to import and you’ll receive a message indicating which rows had problems showing “Error”. You can modify the file then and upload again.

Forms in SmartTask allow you to collect structured information (like inquiries, feedback, support requests, job applications, etc.) and automatically convert them into tasks or CRM records. Each submission becomes a task, helping you streamline data intake without manual entry.

#### **How to Create a Form**

1. **Click on + in the "Views Tabs" within any Project**
   * Click the **“Form”** option
2. **Add a Title and Description**
   * Click on **“Form”** title to rename it.
   * Add a **description**, **icon**, or **cover image** if needed.
3. **Add Questions Using Form Elements**
   * On the right panel under **“Form Elements”**, drag and drop the fields you need.
   * Available elements include:
     * **Single line text** (e.g., name)
     * **Multi line text** (e.g., feedback)
     * **Number**, **Date**
     * **Single select** and **Multi select**
     * **Attachment**
     * **Email**, **Phone number**

# Task Assignee & Followers

Learn quickly how to assign a task to a team member and keep people in loop by adding them as a followers to an ongoing task.

## Assigning a Task

#### **To assign a task:**

* Click on the assignee tab displayed on the right pane of the page
* Start typing the name or email address of the user to whom the task needs to be assigned.
* Select the user and assign the task.

Upon doing this functions, the assignee is automatically added as a follower and would get immediate notifications on task updates and comments.

Following a task is a great way to stay updated with all the task changes and comments. If you follow a task, you can see its updates in the Activity Stream.

You can easily follow or unfollow and invite other teammates as follower to any particular task. As soon as a user makes any change in a task he/she is automatically added to the task followers' list by default functionality.

Comment on a task to ask question, provide more information or offer an insight.

Comments appear in the right side of the page under the task detail pane. Any team member with access to the task can view the conversation and offer a comment. Followers are immediately notified on a new comment.

Comment on a task whenever you want to discuss work with your team. Comments keep your communication in context of the task and is always available for reference purposes at a later date.

So, never forget to comment when you have an update, more information or insight to share!

# Recurring task

Recurring tasks help you automate repetitive work by ensuring tasks are created at regular intervals without manual effort. This feature allows tasks to be automatically regenerated based on completion or a predefined schedule.

#### **Setting Up a Recurring Task**

To create a recurring task in SmartTask, follow these steps:

1. **Open a Task:** Navigate to the task you want to make recurring.
2. **Enable Recurrence:** Click on the recurrence option in the task settings.
3. **Choose Recurrence Type:**
   * **On Completion:** A new task will be generated only when the current one is marked as complete or dismissed.
   * **On Schedule:** A new task will be created at a fixed interval, regardless of task completion.
4. **Set Frequency & Timing:** Select how often the task should repeat—daily, weekly, monthly, or custom intervals.
5. **Save the Recurrence Settings:** Once configured, SmartTask will automatically generate future tasks as per your chosen recurrence method.

#### **How Recurring Tasks Work**

* When a recurring task is completed or dismissed, SmartTask **duplicates** all details (such as task description, assignees, and attachments) into a **new task with updated due dates**.
* If set to recur **on schedule**, the new task will appear at the specified interval, even if the previous one is still open.

#### **Best Practices for Using Recurring Tasks**

* Use **on completion recurrence** for tasks that depend on user action (e.g., "Submit Weekly Report").
* Use **scheduled recurrence** for tasks that must occur regularly, regardless of completion (e.g., "Monthly Performance Review").
* Ensure task details, such as subtasks and dependencies, are set correctly so that new tasks are created with the right information.

## How to Create a Task Template in SmartTask

Task Templates let you define reusable task structures — with a name, description, assignee, custom fields, and more — that anyone on the team can use to create pre-configured tasks instantly.

Task Templates are project-specific. They are available in any project's List, Board, Calendar, Timeline, and Gallery views, as well as user-scoped views within a project. You need **edit permissions** on the project to create templates.

### Method 1: Create a New Template from the Add Button

This is the primary way to create templates from scratch while working inside a project.

1. Open a project and navigate to any view (List, Board, Calendar, etc.)
2. In the top toolbar, click the **dropdown arrow (▼)** on the right side of the **"Add"** button
3. In the dropdown, scroll down to the **"Task templates"** section at the bottom
4. If no templates exist yet, click **"Create Template"**

   * If templates already exist, click the **→ (Open templates drawer)** icon next to the "Task templates" heading

5. The **Task Templates drawer** opens on the right side of the screen

   * Due date
   * Custom fields
   * Any other relevant fields

### Method 2: Save an Existing Task as a Template

If you already have a well-configured task that you want to reuse, you can save it directly as a template.

1. Open any existing task by clicking on it (the task detail panel opens)
2. In the task detail toolbar, click the **"..." (More options)** button<br>

1. Click the **dropdown arrow (▼)** next to the **"Add"** button
2. In the **"Task templates"** section, you'll see up to 10 templates listed

4. For more templates, click **"Load more"** at the bottom of the list, or open the full drawer

Open the drawer via the dropdown arrow → "→" icon to manage all templates for the project:

### Things to Know

* **Task Templates are project-specific.** A template created in Project A won't appear in Project B.
* Task Templates are different from **Project Templates**, which save an entire project structure for reuse when creating new projects.
* The "Task templates" section in the Add dropdown is hidden if you are inside a project that is itself a template.
* Guest users cannot create or manage templates.


# Hide Task from Guest

To hide a task from any guest users:

* Open task detailed view
* Click on more options then choose the option “Hide from guest”

By doing this the task will not be visible to the guest users.

# Archive a Task

## Archive a task

If you're done with a task, but want to access it later, you can archive it to clean up your Workspace. When you archive a task, you're removing it from view, not deleting it. You can still [search for and view archived tasks](/fundamentals/reporting/dashboards/filtered-views) at any time.

The difference between deleting and archiving is that archiving allows you to access the information at a later time if necessary.&#x20;

* You can archive tasks on all plans
* Anyone, including guests with [edit or full permissions](/permissions), can archive tasks.

## Archive a task

To archive a task:

1. Open the task you want to archive.
2. Click the **ellipsis ...** in the upper-right corner of the task.
3. Select **Archive** from the dropdown menu.

## Archive multiple tasks

You can archive several tasks at the same time using the Bulk Action Toolbar:

1. In List view, hover over the tasks you want to archive and click the checkbox on the left of each task.
2. In the multi-select popup, select the **Archive tasks** icon in the toolbar.
3. Click **Archive** to confirm.

## See archived tasks in views

You can easily track down archived tasks when filtering in any view:

1. Click **Filter** in the upper-right corner of a view.
2. Select **Archived** from the dropdown.

When filtering, you can also choose to exclude archived tasks from your view.

To search for archived tasks:

1. Click the **Search** **bar** at the top navigation bar.
2. Click the **filter** icon.

With a Portfolio, you can:

### **Creating a Portfolio:**

### **Sharing a Portfolio:**

#### **Portfolio Permissions:**

SmartTask allows you to set permissions for **who can access and join a portfolio.**

1. **Find and Join** – Everyone in the organization can discover and join the portfolio.
2. **Private to Members** – Only added members can access the portfolio.

Admins can **add or remove members** and control access levels to ensure the right people have visibility into projects.

### Remove a project from a portfolio

1. **Open the detailed view** of the project inside the portfolio.
2. Click on the **three-dot menu (•••)** in the top-right corner.
3. Select **"Remove from Portfolio."**

This action will remove the project from the portfolio while keeping it intact in the workspace.

# Dashboards

The **Dashboard** in SmartTask allows users to create visual reports and track key metrics from projects and tasks in a centralized, customizable view.

* **Create Reports:** Generate charts and reports based on your project and task data — like tasks by status, assignee workload, time tracking summaries, overdue tasks, etc.
* **Filtered Views:** Apply filters to narrow down data by project, assignee, dates, and custom fields — so you can create specific reports, like *“Tasks completed this week by John”* or *“Hours logged by each team member this month.”*
* **Multiple Report Types:** Choose from bar charts, pie charts, line graphs, number widgets, or task list views depending on how you want to visualize your data.
* **Custom Dashboards:** Combine multiple reports into a single dashboard view for a quick overview of your team’s performance and project progress.

It essentially helps managers and team leads **track performance, identify bottlenecks, and make data-driven decisions** without switching between multiple tools or spreadsheets.


# Setting up Dashboards

1. **Go to Dashboards:**

   From the left sidebar or top menu, select **Dashboards** (or create a new one if needed).
2. **Click on 'Add Card':**

   Once inside the dashboard, click the **‘Add Card’** button to start adding widgets.
3. **Select the Type of Data You Want to Track:**

   In the **‘Add Card’** popup (like in your screenshot), you’ll find categories on the left:

   * **Tasks**
   * **Projects**
   * **Users**
   * **Time Tracking**
   * **Cost & Budget**
   * **Custom Fields**
   * **Activities**
   * **Embed (for embedding charts or third-party reports)**
4. **Choose from Predefined Widgets or Add a Custom Chart:**
   * Pick from available cards like:
     * **Overdue Tasks by Project**
     * **Tasks by Assignee Due This Week**
     * **Tasks Completed This Week**
     * **Time in Custom Field**
     * **Tasks Worked on This Week**
   * Or click **‘Add Custom Chart’** to create your own chart by selecting the type (bar, pie, line, etc.) and setting filters based on projects, members, task status, custom fields, etc.
5. **Configure Card Settings:**

   After adding a card:

   * Rename the card if needed.
   * Apply filters (by project, user, date range, etc.) to refine what data you want it to display.
   * Choose how the data should be displayed (chart type, count, list, etc.)
6. **Arrange the Cards:**

   Drag and drop the cards within the dashboard to set the layout as per your preference.
7. **Save the Dashboard:**

   Give your dashboard a name (e.g. **Content Team Overview**, **Project Health**, **Time Tracking Report**) and save it.

     * **Record Sub Type**
     * **Files Attached**
     * **Assigned to / Created by / In Projects**
     * **Status (Incomplete/Complete/Any)**

4. Click **+ Add Filter** to include custom fields:
   * **Priority**

5. Once your desired filters are applied, click Search.
6. The filtered view can be saved, for quick future access.
7. The filtered task list can be exported into a CSV format for external reporting.
8. The filtered view remains dynamic — any updates made to tasks in SmartTask will automatically reflect in the filtered view in real time.

Adding estimated time helps in better workload planning, accurate forecasting, and tracking if tasks and projects are being delivered on schedule.

**Setting Estimated Time for a Task**

1. **Open a Task**
   * Click on a task inside your project or task list.
2. **Go to the Task Details**
   * In the right-side panel, look for the **Estimated Time** field.
3. **Add Estimated Time**
   * Enter the expected time (in hours, like `2h 30m` or just `3h`).
   * Here you can also mention if the task is **billable** or **non-billable**
   * Save it.

### Logging Time

#### **1. Using Timer**

1. **Open the Task**
   * From your project or task list, click on the task you want to work on.
2. **Go to the Time Tracking Input**
   * On the right-side panel, scroll down to find the **Time Tracking** input.
   * Incase the input is not visible - Click on the more option (3 dot icon) and select **Actual Time**
3. **Click on ‘Start Timer’**
   * Click the **Start Timer** button to begin tracking actual time.
4. **Pause or Stop the Timer**
   * When you take a break or finish the task:
     * Click **Stop Timer**
     * The tracked time will automatically be recorded under that task.
     * Optionally, add a note about the work done during that time.

#### 2. Manually Logging Time

If you forgot to start the timer, you can manually log time:

1. **Open the Task**
2. Go to the **Time Tracking** section.
3. Click **Add Time Entry**
4. Enter:
   * **Start and End Time** or
   * **Total time spent**
5. Add notes (optional)
6. Click **Save**

* **Navigate to Timesheet**
  * From the sidebar - click on the Time icon to navigate to Time Tracking view
  * Click on the **Timesheet tab** from the top menu or side panel.
* **Select Week**
  * Use the date picker at the top to choose the week for which you want to log time.
* **Add a Task to the Timesheet**
  * Click on **“+ Add Task”** for any day in the week.
  * Select the task you want to log time against from the dropdown.
* **Log Hours**
  * Click on the time cell corresponding to the task and the specific day.
  * Enter the number of hours and minutes (e.g., `2h`, `1h 30m`).
  * Optionally, you can add a note describing the work done.
* **Review Daily and Weekly Totals**
  * Daily totals appear at the bottom of each day’s column.
  * Weekly total appears on the far-right column beside the task name.
* **Edit or Remove Entries**
  * Click on any existing time cell to update or delete the entry.

### **Viewing Actual Time Logged**

* Inside the task’s **Time Tracking** section, you can view:

  * All time entries
  * Total time tracked for that task
  * Compare it against the **Estimated Time**

## Introduction:

The analytics view provides a consolidated snapshot of tracked time and related financials. It is designed to help teams monitor time utilization, billing efficiency, and project profitability.

* **Total Hours:** Displays the cumulative time logged by users.

* **Cost:** Reflects the internal cost incurred based on time logged and user rates.
* **Billable Amount:** Indicates potential revenue calculated from billable hours and billing rates.
* **Profit:** Derived from the difference between the billable amount and the cost.

If no time entries are recorded, all values will appear as zero.

### **3. Filters and Export:**

* Users can filter the data by project, user, or group to analyze performance from different perspectives.
* The **Export** option allows users to download the data for reporting or further analysis.

# Timesheet

## **Introduction:**

The **Timesheet** view helps you track time spent on tasks throughout the week, making it easier to manage productivity, calculate billable hours, and ensure proper time logging.

#### **Navigating to the Timesheet**

1. Go to the **“Timesheet”** tab from the top menu.
2. You'll see two sub-tabs:
   * **My Timesheet** – Your personal time log.
   * **All Timesheets** – (For admins/managers) View team members' timesheets.

#### **Understanding the Timesheet Layout**

* **Week View**: Shows the current week (e.g., *May 19 - May 25*). Use arrows to move to previous or next weeks.
* **Daily Columns**:
  * Each day displays time logged out of expected hours (e.g., `0h / 8h`).
  * A progress bar visualizes your daily logged time.
* **Total Column**: Displays the weekly total logged vs. expected hours (e.g., `0h / 40h`).
* **Billable Filter**: Toggle the **Billable** button to show or track billable time entries only.

#### **Adding Time Entries**

1. Click on **“+ Add task”** to select or create a task.
2. Once added, enter the number of hours you spent on that task for each day of the week.
3. If applicable, **mark time as billable** for client invoicing.
4. Time entries will auto-save as you fill them in.

#### **Tips:**

* Use the Timesheet to ensure you're meeting expected hours.
* Managers can review “All Timesheets” for performance insights and workload balancing.
* Combine with **Analytics** to generate detailed time reports per user, project, or client.

# Costing and Billable Rates

Time tracking is most effective when it goes beyond simply logging hours—when it ties time to financial outcomes. In SmartTask, **Costing** and **Billable Rates** help you understand project profitability, manage budgets, and ensure accurate client billing. Here’s how they work:

### **What Are Costing and Billable Rates?**

* **Costing Rate**: This is the internal hourly cost of a team member. It helps you calculate how much a project *costs* your company based on the time team members spend on it.

  Example: If Alice's costing rate is ₹500/hour and she logs 10 hours, the internal cost is ₹5,000.

  `Cost = Time Logged (in hours) × Costing Rate`
* **Billable Rate**: This is the rate you charge your client for a team member’s time. It helps in generating invoices and calculating revenue.

  Example: If Alice's billable rate is ₹1,200/hour for a client project, those 10 hours bring in ₹12,000 in billables.

  `Billable Value = Time Logged (in hours) × Billable Rate`

Based on these data Profit can be calculated as below:

`Profit = Billable Value – Cost`

# Adding Contacts

Learn quicky the ways of adding a contact to SmartTask and associate it with parent company.

## **Adding Contacts**

1. **Go to the CRM section** from the sidemenu.
2. Click on **“+ Add”** or **“New Contact”**.
3. Choose between:
   * **Person** – For individual contacts.
   * **Organization** – For companies or teams.

### **Person Contacts**

Before entering any details, the system will prompt you to enter either the **phone number** or **email address**.

This helps in:

* **Automatically checking** if the contact already exists in the system.
* **Preventing duplicate entries** by suggesting existing records.

If no match is found, you can proceed to add the remaining details:

* Name, email, phone number, linked organization, etc.
* Add any relevant **custom fields** like industry, priority, or tags.

### **Organization Contacts**

You’ll first be asked to enter the **domain name** (e.g., `example.com`).

This helps:

* **Search for existing organizations** linked to the same domain.
* Ensure you don't create duplicates if the company already exists.

If it's a new domain, continue to fill in other organization details:

* Organization name, website, address, phone, and any custom fields as needed.

4. Once all relevant details are filled, click **“Save”** to create the contact.

### **Linking Contacts to Tasks/Deals/Projects**

* Once a contact is added:
  * Open any **task**, **deal**, or **project**.
  * Use the **"Contacts" field** to **attach an existing contact**.
  * This links the contact directly to the work item for context and collaboration.


# Importing contacts

Many companies maintain their client's contact information in an excel sheet. However excel becomes an inadequate tool for the purposes of tracking interactions, follow ups and managing the sales pipeline.

## Importing contacts from CSV file

Before we import contacts here are a few things to check in your CSV file:

The column names in the first row would be utilized by CSV importer to map to relevant contact fields. You could change or modify the default mapping.

#### **Importing Contacts**

1. **Click on the “Import” option** (usually at the top-right corner of the Contacts/CRM page).
2. Upload a **CSV file** with your contact data.
   * Make sure your headers match the fields in SmartTask (Name, Email, Phone, etc.).
3. SmartTask will prompt you to **map columns** to the right fields.
4. Review the mapping and click **Import**.

# Contact Filtered View - Permission

### What is a Contact Filtered View?

A Contact Filtered View is a saved set of filters applied to your contacts list. Each view shows only the contacts that match its filter criteria, making it easy to work with specific segments of your contacts (e.g., "Leads in Europe", "Customers on Pro plan").

### Who Can Create a Filtered View?

Only **organization admins** can create new Contact Filtered Views.

If you are not an organization admin, the **+** (create) button in the CRM sidebar will be disabled. Hovering over it will show the message: *"Only organization admins can create filtered views."*

### Understanding Permissions on a Filtered View

Each Contact Filtered View has its own permissions, separate from your organization-level role. These permissions control who can see and use the view, and what they can do with it.

#### How to Open Permissions

1. In the CRM sidebar, hover over a Contact Filtered View.
2. Click the **···** (settings) menu next to the view name.
3. Click **Permissions**.

This opens the Permissions modal for that view.

The access type controls who can discover and join the view.

When you add someone to a Contact Filtered View, you assign them a role. Roles control what that person can do within the view.

### Adding Members

1. Open **Permissions** from the view's settings menu.
2. In the modal, search for a team member or group by name or email.
3. Select the person or group and choose their role.
4. Click **Add**.

The view will immediately appear in the added member's CRM sidebar.

### Removing Members

1. Open **Permissions** from the view's settings menu.
2. Find the member you want to remove.
3. Click **Remove**.

The view will be removed from that person's CRM sidebar immediately.

### What Happens When You Are Added or Removed?

* **Added**: The Contact Filtered View appears in your CRM sidebar automatically. No action is needed on your part.
* **Removed**: The view disappears from your CRM sidebar. You will no longer be able to access it unless you are re-invited.

### Key Rules to Remember

* Only **organization admins** can **create** new Contact Filtered Views.
* Only **view admins** (members with the Admin role on that specific view) can manage its permissions.
* Being an organization admin does not automatically make you an admin on every filtered view — you need to be explicitly added.
* Permissions are per-view. A person can have different roles on different filtered views.


# Contact Accessibility & Permissions

In SmartTask, Contact visibility is controlled based on the user’s role, project membership, assignment, and follower access.

### Who Can Access a Contact?

A Contact is accessible to a user if **any one** of the following conditions is true:

#### 1. The User is Assigned to the Contact

If the Contact is assigned to the user, they can access it.

#### 2. The User is Following the Contact

Users added as followers to the Contact can view it.

#### 3. The User Has Access to an Associated Project

If the Contact is linked to one or more projects, any user who is a member of those projects can access the Contact.

#### 4. The Contact is Not Linked to Any Project

Contacts without any associated projects are considered generally accessible within the organization.

This allows teams to maintain a shared contact repository without requiring project mapping for every contact.

## Admin Access

Organization Admins bypass all permission checks and have full access to all Contacts.

Every sales process has two key stages: generating leads—whether through inbound or outbound efforts—and then qualifying them.

In the initial phase, your ***Leads*****&#x20;project** might accumulate thousands of unvetted entries. To streamline your pipeline and focus on high-potential opportunities, we recommend creating a separate project called Qualified Leads or simply ***Deals*****.**

This project should house your **Sales Qualified Leads (SQLs)**—contacts who have shown genuine interest and are ready for the next step in the sales journey.

### **Leads Pipeline**

The Leads view is used to **capture and track incoming sales opportunities** before they become active deals.

**Key Elements in the Leads View:**

* **Name**: Lead or company name.
* **Assignee**: The team member responsible for following up on the lead.
* **Priority**: Helps in identifying urgency (e.g., High, Low).
* **Dates**: Due date for follow-up or conversion.
* **Contacts**: The person to reach out to in that company.
* **Qualified Lead**: A Yes/No column to tag leads that meet basic qualification criteria.
* **Interested in Service**: Shows which service the lead is interested in (e.g., Graphic Design, Social Media).
* **Region** and **Lead Source**: Helps with segmentation and marketing analysis.

This project may contain custom fields like:

2. **Create another project named “Deals”**:
   * Create custom fields like **Deal Value** and **Deal Stage**
   * Deal Stages may be “Meeting”, “Proposal”, “Deal Won”, “Deal Lost”, and “Junk”.
   * **Group and Sort by Due Date** to know exactly which deals to act on today
3. **Transition Workflow**:
   * As leads become qualified, **move** them from the Leads list to the Deals board for pipeline progression.

# Phone Call Configurations

Easily place calls to your contacts directly from SmartTask using our IVR integrations. Each call is automatically recorded and attached to both the task and the contact for improved traceability, accountability, and training purposes.

### **Step 1: Configure Call Recording Integration**

Before any call data is visible, each user needs to be connected with your telephony service provider through a configuration.

#### **1. Navigate to Configurations**

* Go to the **Call Recordings** section.
* Click **“Configurations”** from the top-right.
* Click **“+ Add Configuration”**.

#### **2. Fill the Configuration Form**

You’ll need to complete the following fields:

* **Service Provider:** Select the supported platform (e.g., *Ozonetel Calite*).
* **For User:** Assign the configuration to a specific team member *(required)*.
* **Agent Phone Number:** Number used by the agent for calling.
* **Username:** The telephony account’s username.
* **API Key:** For securely fetching call data.
* **DID (Direct Inward Dialing):** The agent’s virtual number for receiving calls.

> 💡 Click Save once filled. This enables real-time call tracking and recording retrieval.


# Chat

## Create channels

1. **Go to the 'Chat' Section:**
   * From the left sidebar, click on the **Chat icon** to enter the chat section.
2. **Click on 'Create Channel':**
   * You’ll see an option like **“+ Create Channel”** or **“+”** next to “Channels.”
   * Click on it.
3. **Set Up Your Channel:**
   * **Name your channel** (e.g., Marketing Team, Project Updates).
   * **Select members** you want to add to the channel.
   * Choose the **visibility**:
     * **Public Channel** – visible to everyone in your organization.
     * **Private Channel** – only accessible to invited members.
4. **Create the Channel:**
   * Click on **Create** or **Save**, and the channel will be ready for use.
5. **Start Collaborating:**
   * You can now send messages, share files, and tag teammates within that channel.

## How to send a direct message

* **Click on the Chat Icon:**
  * Go to the **left sidebar** and click the **Chat** section.
* **Search for a Teammate:**
  * Use the **search bar** at the top of the chat window to type the name of the person you want to message.
* **Click on Their Name:**
  * From the results, click on the person's name — this opens a **Direct Message thread** between you and them.
* **Send Your Message:**
  * Start typing and hit **Enter** to send. This chat will now appear in your direct messages list for quick access later.
  * This opens a **private one-on-one chat** where only you and that person can see the messages.


# Group

Group is second layer in the organization. Lets learn more about groups.

There can be multiple groups in an organization. It can be thought of as a department or a team in an Organization. For eg: Accounts, Marketing, Engineering, etc. Basically it is a team within an organization.

A group can be of three types

* **Public Group:** Anyone in the organization can find and join the group
* **Request to Join:** Everyone in the organization can see the group but cannot access it until they request to join. The admin will receive a request and can accept the request.
* **Private Group:** A private group is only visible to invited members. It can be identified by the lock icon beside its name.

## Create a Group

You can create different groups for various purposes which suit best for your organization. Click on ‘ADD NEW GROUP’ in the side bar.

## Edit Group Name

Group name can be edited by clicking on the three dot menu options. The name can only be changed by a group admin.

## Delete Group

Organization or Group Admins can delete a group.

Deleting any group will delete all the projects associated within the group. This is a irreversible process.

A person can remove themselves from the group view just by removing themselves from the group members list.

# Project

Learn all about project settings and visibility

There can be multiple projects in an organization. A project can either be private or public to the group.&#x20;

* **Public Projects:** A public project is accessible to all the members of the group. Any project is a public project by default.&#x20;
* **Private Projects:** A private project is only visible to select members. It can be identified by the lock icon beside its name.

## Create a Project

To create a project in the group, click on the ‘+’ icon beside the projects section in the side bar.

Projects can be created from 3 ways:

1. Blank Project
2. Using template
3. Imported from CSV file.

# Edit Project Details

Project details can be edited by the project admin.

Project admin can

* Set the name
* Change the owner of the project,
* Set the start and due date for the project
* Edit project’s description.

# Project Views

SmartTask offers multiple project views to visualize and manage tasks efficiently.

#### **Steps to Create Different Views:**

1. **Open the Project** where you want to add a view.
2. Click on the **“+” (Add View) button** near the existing views.
3. SmartTask offers the following project views:
   1. **List View** – Displays tasks in a simple list format.
   2. **Board View (Kanban)** – Organizes tasks into columns for different stages.
   3. **Calendar View** – Shows tasks based on due dates.
   4. **Gallery View** – A visual layout for tasks (possibly with images).
   5. **Timeline View (Gantt Chart)** – Helps in tracking project progress over time.
   6. **Analytics View** – Provides insights and reports on project performance.
   7. **Discussions View** – Allows team members to communicate within the project.
   8. **Embed View** – Lets you embed external content into the project.

4. **Customize the View** (filters, sorting, grouping).
5. Click **“Save”** to apply the new view.

Each team member can switch between views as per their preference.


# Set Project as Template

* Click on the **three-dot menu** of the project.
* Select **"Set as Template"** from the options.
* Rename the template as desired.
* Customize the default view.
* Choose whether to keep the template **private or public**.

# Create Custom Fields

Custom fields allow you to add specific data points to tasks and projects. Follow these steps to create a custom field:

#### **Create a Custom Field in a Project**

1. Open a **project** where you want to add a custom field.
2. Click on the **three-dot menu** (top-right corner).
3. Select **“Custom Fields”** from the dropdown.
4. **Enter a Field Title** – Name your custom field (e.g., "Stage").
5. **Choose a Field Type:**
   * **Text** – For entering plain text.
   * **Number** – For numerical values.
   * **Select** – For a dropdown with a single-choice option.
   * **Multi Select** – For a dropdown with multiple choices.
   * **Date** – For selecting a date.
6. (Optional) **Add a Description** – Provide details about the field.
7. **Admin Control Options:**
   * **Only Admins can edit this property** – Restricts field editing to admins.
   * **Only Admins can edit the value in Tasks or Contacts** – Restricts who can update values.
8. Click **Save** to create the custom field

#### **How to Use Predefined Columns?**

There are **predefined columns** that can be used to structure your project or task data without creating custom fields from scratch.

1. Click on **Search and create column** in the project view.
2. Toggle the switch **on/off** for the required columns.
3. If needed, go to **Choose from Library** for more field options.

You can enable or disable the following predefined columns based on your project needs.


# Setup Sprints

* Open the project you want to configure as sprints.
* Click on the **three-dot menu** of the project.
* Select **"Set as Sprints."**
* Define your sprint duration (e.g., 1 week, 2 weeks).
* Organize tasks into different sprints based on priority and timelines.
* Use **custom fields** (e.g., Sprint Number, Status) if needed for better tracking.
* Save the changes, and you're ready to manage your project in a sprint format!

# Move project to another group

* Click on the **three-dot menu** of the project.
* Select **"Move to Another Group."**
* Choose the **group name** where you want to move the project.

# Duplicate a Project

Follow these steps to duplicate a project in SmartTask:

1. **Go to the project** you want to duplicate.
2. Click on the **three-dot menu** in the top-right corner of the project.
3. Select **"Duplicate Project."**
4. A **Duplicate Project** window will appear, allowing you to:
   * Rename the project.
   * Choose which **Project Details** (members, description, views, portfolios, etc.) to copy.
   * Select **Task Details** (assignees, subtasks, dates, dependencies, attachments, etc.) to include.
   * Decide whether to **include archived tasks** or not.
5. Click **"Copy"** to create the duplicate project.

Your new project will now be available with the selected details!

When duplicating a project in SmartTask, you can customize what details to copy. Here’s a breakdown of the options:

#### Project Name

* You can rename the duplicated project as needed.

#### Project Details

* **Project Members** – Copies assigned members from the original project.
* **Project Description** – Duplicates the project’s description (unchecked in the image).
* **Custom Fields** – Retains all custom fields used in tasks.
* **Copy Views** – Duplicates the project’s views, such as list, board, or timeline.
* **Portfolios** – Keeps the project linked to the same portfolios.

#### Task Details

* **Description** – Copies task descriptions.
* **Assignee** – Retains assigned users for each task.
* **Followers** – Copies followers of tasks.
* **Subtasks** – Duplicates all subtasks within tasks.
* **Associated Projects** – Maintains links between tasks and associated projects.
* **Priority** – Copies priority levels of tasks.
* **Dates** – Keeps due dates and start dates intact.
* **Attachments** – Duplicates attached files in tasks.
* **Parent Task Information** – Retains parent-child task relationships.
* **Status** – Copies task status (e.g., In Progress, Completed).
* **Dependencies** – Maintains dependencies between tasks.
* **Contacts Attached** – Keeps associated contacts in tasks.
* **Time Estimate** – Copies estimated time for task completion.
* **Custom Fields** – Retains all custom fields related to tasks.

**Archived Tasks**

* **Yes (keep in archived)** – Includes archived tasks in the duplication.
* **No** – Excludes archived tasks from the new project.

Once you’ve selected the desired options, click **"Copy"** to duplicate the project.


# Project Dashboard

* **Go to Analytics or Dashboard.**
* Click **“Add Card”** to open the card selection window.
* Select a predefined chart like:
  * **Overdue Tasks by User**
  * **Tasks Completed This Week**
  * **Tasks by Assignee Due This Week**
  * **Time in Custom Field**
* To create a custom chart, click **“Add Custom Chart”** and configure:
  * **Metric Type** (Tasks, Time Tracking, Budget, etc.)
  * **Filters** (By User, Date, Project, etc.)
  * **Chart Type** (Bar, Line, Pie, etc.)
* Click **Save**, and the chart will appear on your dashboard.

The data in SmartTask's custom charts and reports **auto-updates** in real time.

Whenever tasks, time tracking, budgets, or other project elements are modified, the corresponding **dashboard cards and reports update automatically**. You don’t need to refresh or manually update them.

# Import Tasks to Project

With SmartTask's CSV import functionality one could move workflow out of excel / csv to SmartTask. On importing the CSV file, tasks would be created with data mapped to relevant task fields like start date, description, assignee and Custom Fields.

**Steps to Import a Project**

1. **Go to the Project** where you want to import data.
2. Click on the **three-dot menu** (top-right corner).
3. Select **“Import”** and choose the source:
   * **CSV file** – Upload tasks from a spreadsheet.
4. **Map the fields** (e.g., Taskname, Assignee, Due Date).
5. Click **“Import”** to complete the process.

# Export Project Tasks

## **Steps to Export a Project**

1. Open the **project** you want to export.
2. Click on the **three-dot menu** (top-right corner).
3. Select **“Export”** and choose the format:
   * **CSV File** – Download project details in a spreadsheet format.
4. The file will be generated and available for download.

# Group Permissions

Groups form the second layer of SmartTask’s organization structure. Group permissions determine who can view or access a group.

### Administrator

Has full control over the project, including the ability to edit permissions and manage settings.

### Editor

These users would be able to create, modify and delete tasks within a project. But edit users can't modify the project permissions or change the project settings, due date or description.

### Commenter

These users would only be able to comment on tasks. Incase a task is assigned to a comment only user they would be able to change the assignee or mark the task complete.&#x20;

### Viewer

These users can only access the project but not make any modifications.

## Permission Overview in a Table

The table below outlines the capabilities of project members with Project admin, Editor, Viewer and Commenter permissions. Commenters can also be assigned tasks, which gives them some additional permissions on those specific tasks.

# Task Permissions

**Access to Tasks Based on Different Scenarios:**

1. **Tasks in Projects** – Only task followers and project members can access the task.
2. **Subtasks** – Access is limited to those who can view the parent task.
3. **Tasks Shared with Specific Individuals** – If a task is not part of any project, only followers of the task have access.
4. **Hiding Tasks from Guests** – Certain tasks can be hidden from guests (clients or vendors) to maintain confidentiality.

# Custom Fields

Learn how to track anything and everything with Custom Fields

Custom fields in SmartTask help you capture additional data points that matter most to your team—whether it's work stage, client billing info, deal value or anything custom to your workflow. With these fields, teams gain clarity across tasks and projects, and leaders can report, filter, and automate with ease.

You can view and update custom fields directly within the task or as columns in your project list view.

## Adding Custom Fields

You can add a custom field to your project in two easy ways:

1. **From List View**\
   Click the **+** icon next to your column headers to add a new field.<br>

2. **From the Columns Dropdown**\
   Open the **Columns Dropdown** from the top right corner and type in the custom field name It would show **+ Add Field** button or showcase an existing custom field by the same name.

From there, you can:

* Set a field title
* Choose a field type (Number, Text, Select, Multi-Select, etc.)

## **Utilize Pre-defined Custom Fields**

There are **predefined columns** that can be used to structure your project or task data without creating custom fields from scratch.

1. Click on **+Column or Columns dropdown** in the project view.
2. **Choose from Library** to select a predefined custom field

You can enable or disable the following predefined columns based on your project needs.

## Utilizing Select Field as Project Stage

When you have a long term project, you may want to divide the project into multi-stages.

To achieve this create a Select Field with Stages as options

Once the Select Field is added to the project's list view. Utilize Group By option to Group the list by the Select Field option.

## Removing Custom Field

You can either permanently remove a custom field from the organization or only remove the custom field from the project

Removing a field only removes it from the current project, it does not delete the field entirely. Other projects in your Organization with the same field will retain it and the field could still be added to other projects in your Organization.

#### Retained values

Removing a field from your project does not delete your field’s values from your project’s tasks.

If your field is populated, the custom field and its value will still appear in the right pane of your task’s details.

If your field is empty, the custom field will also disappear from the right pane of your task’s details.

### 2. Permanently Deleting a Custom Field

You can delete the Custom Field from Organization Settings or from a Project view.

**Deleting from Project View**

1. From the project view, click on the Field Column, select **Edit Field**

**Who will receive custom field notifications?**

Task or Contact followers would be notified when a field's value changes in the record.

Project members will only receive custom field notifications if they are following the task or contact where the field value has been changed.<br>

1. **Open “Create Reward”**
   * Go to the Rewards/Karma Points section.
   * Click on **Create Reward**.

   * **Name** → Enter the reward name\*(Example: Amazon Voucher, Extra Leave, Lunch Treat)\*
   * **Icon URL** → Add an icon (optional but recommended for better visibility)
   * **Price in coins** → Set how many karma points are needed to redeem this reward\*(Example: 500 coins)\*
   * **Description** → Briefly explain what the reward includes\*(Example: ₹500 Amazon gift voucher)\*
3. **Save the reward**
   * Click on **Save**
   * Your reward will now be available for team members to redeem

Setting up Reward fulfillment in SmartTask

Whenever a reward is redeemed:

* A task is automatically created for fulfillment
* A designated team member is assigned to process the request
* Points are deducted when the reward is marked as “Fulfilled”

The system also maintains a **Fulfillment History**, where users can track:

* Rewards redeemed
* Points used
* Approval status
* Request timeline

This ensures transparency and smooth execution.

### How to Set Up Fulfillment Configuration

To enable reward fulfillment flow, follow these steps:

1. **Create a Project** Create a dedicated project (e.g., “Reward Fulfillment”) where all reward requests will be managed.
2. **Assign a Responsible Person** Choose a team member who will handle reward processing (approvals, coordination, delivery).
3. **Configure Fulfillment Settings**
   * Select the project where tasks will be created
   * Set the default assignee
   * Define the status (e.g., “Fulfilled”) at which points will be deducted

# Organization Settings

Change the settings for your current organization here:

This section allows users to configure settings for their current organization. **Only Admins** have permission to modify these settings.

## Overview

* **Organization Icon**

  Upload or update your organization's icon. Supported formats are PNG and JPEG, with a file size limit of 5MB.
* **Name**

  Displays the default name of the organization. This field is non-editable by non-admin users.
* **Time-zone**

  Select the appropriate time-zone from the dropdown.
* **Time Tracking Preference**

  Option to enable “Show time tracking inputs by default.”

## Setting up Holidays

In **SmartTask**, setting up **working days and holidays** is typically done via the **Workspace or Organization Settings**, especially useful for managing resource availability, timelines, and capacity planning. Here's how you can do it:

#### To Set Up Working Days:

1. **Go to Organization Settings:**
   * Click your profile picture or organization name > **“Settings”**
2. **Navigate to “Working Days”**:
   * This section allows you to define the default working days for all users in your workspace (e.g., Monday to Friday).
3. **Select Working Days:**
   * Check the boxes for days considered working days.
   * Unchecked days are treated as non-working (e.g., weekends).

# Setting up Custom Domain

Guide on how to setup custom domain for your SmartTask organization

You can have your own custom domain ex: portal.brand.com host SmartTask\
\
Please read the following carefully before setting up your custom domain;\
\
We recommend using a subdomain (sub.example.com) instead of root domain (example.com) as connecting your root domain may effect your emails and anything else setup on it. \
\
Please ensure you are using a subdomain that isn't currently being used.

### Follow the steps below very carefully to setup your custom domain:

1. &#x20;Go to your domain registrar and create a CNAME record.
2. Search your provider's help centre or ask their support for instructions on how to create a CNAME as the steps differs between providers.
3. When adding a CNAME record you would usually see two fields. The first field is the host where you enter your custom domain and the second field is the value or target where you enter your current SmartTask sub domain.\
   So it would be HOST (custom domain) > directing or pointing to > VALUE (smarttask-app.azurewebsites.net).

### Here's an example to help explain HOST and VALUE:

To connect projects.example.com to your SmartTask account example.smarttask.io.\
\
The CNAME records would be:

* Host: portal.brand.com - Please note that depending on your domain provider you may need to enter only the part before the root domain. So your host would be only "portal" instead of "portal.brand.com".

### Why I haven't received invitation mail yet? <a href="#why-i-havent-received-invitation-mail-yet" id="why-i-havent-received-invitation-mail-yet"></a>

Check your spam folder to make sure it didn't end up there. You can also add the email address <no-reply@smarttask.io> to your address book to make sure that mail from SmartTask doesn't end up in your spam folder. Contact us at <support@smarttask.io> incase you need any help.

If you ever change the email address for your account, you'll need to verify your account again.

### I am not able to view the organization I am part of <a href="#i-am-not-able-to-view-the-organization-i-am-part-of" id="i-am-not-able-to-view-the-organization-i-am-part-of"></a>

Check if you are able to see the organization name in the right dropdown menu. If you are able to view the organization name, click on it to open the organization. Only Organization Administrators can access Organization Settings, similarly only Organization and Group Administrators can access Group Settings.

We suggest that Department heads are made Group Admins of their respective department groups so that they can have full control over projects within those groups and can control invitations of Group members too.

Inherently Groups in an Organization are private. That means only members who are invited to a particular group can view projects within.

Projects by default are public to Group. This means all members​ ​within a group have access to public projects.

Also turn off:

**Do not disturb**

Microsoft specifically says when Do Not Disturb is on, notifications can go directly to Notification Center instead of showing banners.

**2. macOS: browser alert style is Notification Center only**

Go to: **System Settings → Notifications → Google Chrome / Edge / Safari**

Check:

* **Allow notifications** is on
* Alert style includes **Desktop**
* Choose **Temporary** or **Persistent**
* Focus / Do Not Disturb is off

Apple’s notification settings let you control whether notifications appear on the desktop or only in Notification Centre.

**3. Browser/site permission**

In Chrome: **Settings → Privacy and security → Site settings → Notifications**

Make sure your domain is allowed.

### How to start SmartTask automatically on Windows Boot?

1. Right click on empty part of the desktop screen. Select "New" and then "Create Shortcut"

### How to get Usage statistics for organization members?

1. Clicking on the Chart icon in the Navbar opens up "Productivity Scoring" Popup
2. Filter selecting the users you want data for and date range.
3. Click on the download button at the top right hand corner.
4. This will download usage data in a CSV file.

# Onboarding the team

Here is our recommendation on onboarding your team on SmartTask

Using SmartTask is easy but getting your team up and running takes careful planning, patience and persistence.

We have analysed most of successful teams on SmartTask and here are our recommendation for a successful implementation:

## 1. Answer 'Why SmartTask'

Adopting a change is tough and changing our team’s daily habit is no cake walk. Before you invite your team have an answer for “Why SmartTask?” which would motivate your teammates. Note down a few pain points and how the same are solved with SmartTask.\
\
For example:

## 2. Design your implementation plan

Once we have established the purpose of using SmartTask. We need an implementation plan to adopt SmartTask. Set expectations and implementation milestones to gauge if implementation is on track.

### What to include in the implementation plan

Though implementation plan may differ from organization to organization most may include the following points:

* Picking the first process you would like to accomplish with SmartTask.
* Identifying key teammates you trust and whose influence would help promote and reinforce SmartTask usage.
* Inviting teammates. We recommend our email template to send out invitations.
* Have a getting started meeting.
* Establish a milestone like “move process to SmartTask in 4 weeks”.
* Give a few key tasks to start with.

## 3. Picking the first process

&#x20;Here are few characteristics of an ideal first process to start with:

* Work in the project is lot of to and fro between the teammates
* It’s simple and has clear goals.
* Every team member has a part to play.
* Is difficult to execute and current processes aren’t working.

Create a project, invite teammates and ask them not to be afraid of making a mistake or un-intended changes as it’s easy to undo in SmartTask. Try out different features and ideas to get familiar with functionalities. (Request the team to download SmartTask mobile app for immediate notifications on updates)\
\
Once the invited team is doing well, invite rest of the team and ask the current team to help out new members.

## 4. Setting and enforcing conventions

Once you start using SmartTask, figure out what works best and what steps should be taken at what time. For example a project manager may know how to duplicate a project template but may not know at what stage a new project should be created.

### Our recommendations:

* Create a shared project where people can discuss ideas and share feedback on conventions.
* Avoid phone-calls, email threads, in-person meetings instead prefer adding a task or discussing over project chat.
* Establish what an ideal task is.
* Incentivize best performer and utilizing SmartTask in the best way possible.
* Have someone friendly to enforce right way of using SmartTask.
* Have weekly meetings for addressing problems faced and improve upon the conventions.

## 5. Expand and improve the implementation

Once things are moving along, study what can be improved, whether a process can be improved further, did we meet our expectations and if timeline was achieved.\

On successful process implementation, expand and include more processes and workflows that haven’t yet be included.\
\
Getting your team on board with SmartTask isn’t always quick and easy, but once you do, collaboration and productivity will become much easier than ever before.
