# Attendance App

The Attendance App lets your team mark daily attendance (check in and check out) without leaving SmartTask. Every check-in is logged into a project you choose, so attendance sits alongside the rest of your work and can be viewed, exported, and corrected in one place.

**Where to find it:** open the organization sidebar, go to **Apps & Integration**, then **Attendance**.&#x20;

Once an admin has set it up, a fingerprint icon also appears in the left sidebar for quick check in and check out.

### For admins: setting it up

1. Go to **Apps & Integration**, then **Attendance**.
2. **Select Project.** Pick the project where attendance should be logged. This is the only required setting.
3. **Attendance reviewer** (optional). Correction requests are assigned to this person. If you leave it blank, requests go to any organization admin. The first time you choose a project, its owner is suggested as the reviewer, and you can change or clear that before saving.
4. **Require GPS location** (on by default). Members must share their device location to check in or out. The location is saved as a street address on the record.
5. **Require photo** (off by default). Members must take a photo with the in-app camera to check in or out. The camera opens front-facing and stamps the current time and location onto the picture.
6. Click **Save**.

To turn the feature off later, open the same screen and click **Delete Configuration**. This removes the setup and hides the sidebar attendance icon for everyone.

### For members: marking your attendance

You can check in or out from two places:

* **The fingerprint icon** in the left sidebar. Click it for a small panel with a **Check In** button, then a **Check Out** button once you are checked in. A dot on the icon shows whether you are currently checked in or already checked out for the day.
* **The today banner** at the top of your attendance page ("Mark attendance for today"), which has the same buttons and shows your recorded times.

#### What happens when you check in or out

1. **Location.** If your organization requires GPS, your browser asks to share your location. If you decline, the check-in cannot go through, so allow it and try again.
2. **Photo.** If your organization requires a photo, the camera opens. Take the photo to continue, or cancel to stop the check-in. The saved photo shows the time and address across the bottom.
3. **Time recorded.** Your first action of the day is your check-in and sets your status to Present. Your next action is your check-out. Remember to check out at the end of the day.

On a holiday, a non-working day, or a day you are marked out of office, the banner shows a short message (for example "Today is a holiday") instead of a check-in button.

### For members: your monthly attendance

Open **Apps & Integration**, then **Attendance** to see your month.

* **Change month** with the arrows, or jump to a specific month and year. You cannot move into the future.
* **Calendar grid.** Weeks start on Monday, and each day is coloured by status:

  | Holiday     | An organization holiday                         |
  | No Data     | A past working day with no attendance recorded  |
  | Non-working | Not a working day for you                       |
  | Future      | A day that has not happened yet                 |

  A small badge on a date means a correction request is pending for that day.
* **Detail table** below the calendar: one row per day with your check-in and check-out times, total hours, addresses, any photos, and admin remarks.
* **Export** downloads the month you are viewing as a CSV file.

### For members: requesting a correction

You cannot edit your own attendance. If a time is wrong or missing, request a correction and a reviewer will apply it.

1. In your monthly view, click a past day and choose **Request Correction**.
2. Enter the check-in and check-out times you are asking for, and a reason.
3. Submit. This creates a task in the attendance project for the reviewer, due within two days. The task holds your requested times, your reason, and a link back to that month.

You can only have one open request per day. If you open the day again while a request is pending, you are shown the existing request and a link to its task instead of a new form. The badge on the day clears automatically once the reviewer applies the fix.

### For admins: reviewing the whole organization

**Apps & Integration**, then **Attendance** opens the members list:

* One row per member with their **Working Days**, **Present**, and **No Data** counts for the selected month.
* More rows load as you scroll. Use the month controls to change month.
* **Export** downloads every member's summary for the month as a CSV.
* Click a member to open their full monthly view.

#### Editing a day

In a member's monthly view, click any day that is not in the future and choose **Edit**:

* Set the **Status** (Present or OOO), **Check In**, **Check Out**, and **Remarks**.
* **Save** writes the change straight to the record.

#### Handling a correction request

When a day has a pending request, the row shows **View Request**:

* **View Request** shows what the member asked for, with an **Approve** button. Approving applies their requested times exactly and closes the request.
* Choose **Edit** instead if you want to enter different values. Saving that edit also closes the pending request.

Either way, the badge on the day clears once the request is resolved.

### Good to know

* If reverse geocoding cannot find an address, the check-in still goes through and the address is saved as "Unknown Address".
* Photos are kept on the attendance record and shown in the detail table in the order they were taken.
* Correction request tasks link back to the exact month they are about, so you can jump straight there from the task.
